We’re looking for an experienced Estate Services Coordinator to support the smooth operation of a high-end residential development, working alongside the Concierge team and Development Manager to maintain excellent standards, support day-to-day operations and deliver an outstanding resident experience.
Location: Birmingham, B4
Salary: £30,000
Hours: 40 hours per week (8:00am - 5:00pm, Monday to Friday) Please note: hours may vary occasionally depending on building needs. Any changes (e.g. later start for events support) would be discussed in advance.
The Role
As the Estate Services Coordinator, you will work closely with the Concierge team and Development Manager to help maintain the quality, standards and overall operation of the development.
You will support day-to-day operational tasks, ensure the estate remains safe, clean and well presented, and provide excellent customer service to residents, visitors and contractors. This is a varied, visible and hands-on role requiring strong front-of-house service, operational awareness, attention to detail and the ability to support a high-class residential environment.
What You’ll Do
1. Front of House & Resident Services
Welcome residents, visitors and contractors in a professional and friendly manner.
Support the Concierge team with resident enquiries, deliveries, contractor access and day-to-day front desk duties.
Help manage move-ins, resident inductions, parcel handling, key/fob control and access device processes.
Handle resident issues or complaints where possible, escalating to the Development Manager when required.
Maintain a visible, helpful and service-led presence on site.
2. Building Management & Estate Operations
Complete site walkarounds to identify estate issues, safety risks, defects or security concerns.
Support system testing, record keeping, meter readings, building notices and resident communications.
Assist with refuse management, amenity checks, communal area standards and operational monitoring.
Report repairs promptly and liaise with contractors to arrange maintenance or service visits.
Support contractor management, including sign-in procedures, ID checks, work permits, Health & Safety compliance and quality checks.
Help maintain a safe, clean, tidy and well-presented building at all times.
3. Keys, Parcels & Access Control
Manage keys, fobs and access devices in line with site procedures.
Support regular key and parcel audits to maintain accurate records and security standards.
Ensure parcels are logged, stored safely and residents are notified promptly.
Support visitor, contractor and resident access processes to keep the building safe and secure.
4. Team Support & Reporting
Work closely with the Building Manager, Development Manager, Concierge team and contractors to maintain site standards.
Follow work rotas, standard operating procedures and agreed service expectations.
Maintain accurate records and support management reporting on incidents, key events, issues and escalations.
Attend meetings, complete training and engage with performance reviews and feedback.
Support a five-star service culture and assist with coaching new team members where appropriate.
What You’ll Bring
Experience
Good working knowledge of a concierge or front-of-house residential environment.
Experience working in a prestigious residential development, hotel, commercial building or similar service-led environment.
Experience supporting residents, visitors, contractors and operational teams in a professional setting.
Experience with parcel handling, key management, access control or building procedures would be advantageous.
Experience supporting building operations, maintenance coordination or contractor management would be beneficial.
Qualifications
A good standard of education is essential.
Health & Safety awareness or a related Health & Safety qualification would be advantageous.
Willingness to work towards relevant Health & Safety training within the first year of employment, if required.
Skills
Strong customer service and front-of-house skills.
Excellent communication skills, both written and verbal.
Good IT skills, especially Microsoft Word and Excel.
Strong attention to detail and the ability to keep accurate records.
Ability to follow standard operating procedures and site processes.
Good organisational skills and the ability to prioritise tasks effectively.
Confidence dealing with contractors, residents, visitors and internal teams.
Ability to identify issues, report defects clearly and follow through on operational tasks.
